How much does it cost to implement AI in a small business? The cost to implement AI in a small business depends on which of three ways you buy it: AI built into tools your team pays for per user each month, usage fees that grow with volume, or a system built for your business with a one-time build and a monthly cost to run it. As of October 27, 2026, a Claude Team premium seat, with 5x the usage of a standard seat, is listed at $125 a month billed monthly.
The cost to implement AI in a small business can start with a per-user tool
The first option is AI inside a subscription that each person on your team uses. You pay per user (some vendors call it a seat), every month, and the price changes with the plan and how you are billed. Two official pricing pages, checked on October 27, 2026:
- Claude Team (Anthropic). The standard seat is listed at $20 per seat a month billed annually or $25 billed monthly. The premium seat, with 5x more usage than a standard seat, is listed at $100 billed annually or $125 billed monthly. The Team plan is for teams of 2 to 150.
- Google Workspace. The Business Plus plan is listed at $22 USD per user a month with a one-year commitment, and it includes the Gemini AI assistant in Gmail, Docs, Meet and more. Google says the price does not include tax.
Per-user seats cover the AI your team uses for its own work. If you want AI that talks to your customers, usage fees and a built system are the two cost lines that matter.
A small business AI budget starts with seats times price
A small business can budget for AI by multiplying the seats it will really use by the plan price, then adding usage fees. We did not find an official benchmark for how much a small business should spend on AI, so build the number yourself, line by line.
Here is our own math for a team of five, using the prices above. Five Claude Team premium seats come to $625 a month billed monthly, or $500 billed annually. Five Google Workspace Business Plus users with a one-year commitment come to $110 USD a month, before tax.
Count only the people who will really use the tool. Then add usage fees and the cost of a built system, because a per-user seat price never includes them.
Usage fees grow with how much the AI works
Usage fees are the costs that depend on how many messages or tasks the AI handles, not on how many people you have. WhatsApp is a good example for a small business. Meta's developer documentation says that since July 1, 2025, Meta charges on a per-message basis, and that businesses are only charged when a message is delivered.
Meta's WhatsApp rate depends on two things: the message category and the country calling code of the person who receives it. Since October 1, 2026, Meta charges for service messages again after a free tier of 1,000 service messages per business phone number each month.
When you compare quotes, ask each vendor to list Meta's fees apart from their own price.
A system built for your business has two costs: the build and running it
A system built for your business has two costs: a one-time build and a monthly cost to run it. You are buying a system, not a seat, when the AI has to answer your customers with your prices, book on your calendar and send a payment link.
Before you sign with anyone, get three answers in writing:
- Who owns the code, the data and the domain when the work is done?
- Which monthly costs are listed separately?
- What happens to the system if you stop paying the vendor?
Catalizadora prices every path before you start
At Catalizadora we build the system for your business. There are four paths, each with its price on our pricing page:
- MAGIA Solo: $4,500 USD, one-time payment, ready in 15 days. It is for people who work on their own or run a small service business.
- MAGIA Commerce: for businesses that sell products.
- MAGIA Core: in 12 weeks, for companies with a team.
- MAGIA Forge: in 12 weeks, for launching a digital product of your own.
A one-time payment means the build is not a subscription. Catalizadora's pricing page says you pay by milestones, part up front and the rest as deliveries are met, and on all four paths your code, data and domain stay yours. Messaging, external licenses and additional AI usage are itemized separately, and scope and costs are agreed before we start.
For MAGIA Solo, monthly operations (keeping the system online, WhatsApp and the AI that answers) are paid at cost, directly to the providers and in your name. If the system stays hosted and operated by Catalizadora, that requires an active plan, from $99 USD a month. From your side, MAGIA Solo only needs your business information and a few hours spread across the 15 days.
A per-user seat helps your team write and organize, but it does not answer your customers. When the work that eats your day is answering, booking and collecting from customers, a built system does that work for you, and your code, data and domain stay yours.
